What This Policy Covers
This Privacy Policy describes how Divine AI Systems collects, uses, and protects information submitted through this website ("Site"). It covers the Contact form and the Careers application process, and the technical logs and session mechanisms the Site uses to operate securely. It does not cover information exchanged separately through a signed client agreement, statement of work, or other direct business correspondence.
Information You Provide
When you submit the Contact form, we collect the fields presented in that form, which may include your name, work email, company, phone number, job title, and details about the AI systems or workflows you describe.
When you apply to an open role through the Careers page, we collect the fields presented in that application, which may include your full name, email, phone number, current location, LinkedIn or portfolio links, a cover note, and a resume/CV file you upload.
Information Collected Automatically
When you submit a form on this Site, we record the IP address and browser user-agent string associated with that submission. This is used specifically to apply rate limiting — a technical control that slows down automated or abusive repeat submissions — and is stored alongside the submission for that purpose.
This Site does not currently use any analytics, advertising, remarketing, or behavioral tracking service. If that changes in the future, this policy will be updated before any such service is activated.
Cookies
This Site uses one strictly necessary session cookie, set by the web server itself, to maintain a secure session while you browse. That session cookie is used to protect forms against cross-site request forgery, to keep an administrator's login session secure, and to enforce the rate limits described above. It is not used for advertising, cross-site tracking, or building a profile of you, and it expires automatically.
This Site does not currently set any non-essential cookies (for example, advertising or analytics cookies). See our Cookie Policy for further detail.
Spam and Abuse Protection
Form submissions are protected by standard anti-abuse measures, including a hidden "honeypot" field that real visitors never see, and rate limiting based on the IP address noted above. Where enabled, this Site may also use Cloudflare Turnstile, a privacy-respecting challenge service, to help confirm that a form submission is not automated; Turnstile's own privacy practices apply when it is active.
Resume and Application Files
A resume or CV uploaded through the Careers application form is stored privately and is never published or reachable at a public web address. It is accessible only to authorized Divine AI Systems administrators through the internal admin system, and is never included in any automated analytics or reporting.
Email Notifications
Where an email notification address is configured for a given form, a summary of a new submission may be sent to that address so our team can respond. Resume file contents are never included in that email notification — the file itself remains available only through the private, authorized admin system described above.
How Information Is Used
We use the information described above to respond to inquiries, evaluate applications, operate and secure this Site, and comply with applicable law. We do not sell personal information.
Data Retention
Divine AI Systems has not yet finalized a formal data retention schedule for form submissions and application materials. Until a specific retention period is adopted and published here, submitted information is retained as reasonably necessary for the purposes described in this policy. This section requires business and legal confirmation before a specific retention period can be published.
Your Choices
If you would like to ask a question about this policy, or to request that information you submitted be reviewed, corrected, or deleted, please contact us using the Contact page. We will respond to verified requests as appropriate.
Changes to This Policy
We may update this policy as our Site or practices change. The effective date at the top of this page reflects the most recent update.
